1. Who we are

ShowbookEZ is made by Gadzook Labs LLC (“Gadzook Labs”, “we”, “us”). This policy explains what we collect when you use app.showbookez.com and the emails it sends, and what we do with it.

Companies that use ShowbookEZ decide what goes into their account, including who's on their team. For that content, we handle it for the company and follow its instructions.

2. What we collect

• Account details: your email address, your name and your company's name. We also keep the names and email addresses of the team members a company adds. Sign-in codes are stored scrambled and expire after 10 minutes.
• Your content: show details, plus manuals and other documents you upload or paste. Also checklists, notes, amounts and budgets, order confirmation numbers, receipts, shipments and tracking numbers, show contacts, and photos of your freight with the time they were taken.
• Billing details: your plan and its status, and the date, amount and item of each payment. We also keep the ID Stripe gives your company. Your card details go straight to Stripe; we never see or store your full card number.
• Technical details: to keep ShowbookEZ secure and fix problems, our hosting provider keeps short-term records of requests. These include IP address, browser type, the page asked for and the time.

3. Cookies and what's saved on your device

• One cookie keeps you signed in for up to 30 days. We don't use advertising cookies, tracking cookies or analytics.
• So ShowbookEZ can work without signal at a show, your phone or computer saves a copy of your shows list and the shows you've opened. It also keeps photos that are waiting to upload. When you sign out, the saved shows are removed from that device the next time it's online.
• Your browser also remembers small settings, such as whether you closed the “add to home screen” tip.

4. How we use it

• To run ShowbookEZ: reading manuals, building checklists and calendars, and sending sign-in codes, invitations, reminders, Monday summaries and “checked off” emails.
• To take payments and keep billing records.
• To keep ShowbookEZ secure, prevent misuse and fix problems.
• To contact you about your account, important changes and, now and then, news about ShowbookEZ.

We don't sell personal information, we don't share it for advertising, and we don't use your content to train AI models.

5. Companies that help us run ShowbookEZ

These companies get only what they need to do their job for us:

• Cloudflare hosts the app, its database and your files.
• Anthropic provides Claude, the AI that reads the manuals and documents you upload so ShowbookEZ can find the deadlines in them. Under Anthropic's commercial terms, it doesn't use this data to train its models.
• Resend delivers ShowbookEZ's emails.
• Stripe handles payments.
• Google Fonts supplies the app's fonts. Google can see your IP address when your browser loads them.

6. Who else can see your information

• Your team: everyone on your company's team can see its shows.
• People you share a link with: anyone with a client link or a calendar link you've made can see what that link shows. Client links leave out amounts and private notes.
• When the law requires it: we may share information if a valid legal request requires it, or to protect someone's safety or rights.
• If Gadzook Labs is sold or merged: your information could move to the new owner. This policy, or one at least as protective, would still apply, and we'd tell you first.

7. How long we keep it

• We keep your information while your company's account is open.
• Deleting a show deletes its files and photos.
• When an account is closed, we delete its data within 30 days. Backup copies can last up to 30 more days before they're gone too.
• Sign-in sessions end after 30 days. We keep payment records as long as tax and accounting rules require.

8. Keeping it safe

ShowbookEZ uses encrypted connections (HTTPS). Sign-in codes and sessions are stored scrambled, not as plain text. Each company's data is kept separate, and files are only available to signed-in members of that company. No system is perfectly secure. If a security problem affects your data, we'll tell you promptly.

9. Your choices

• You can change your name in the app from the 👤 menu.
• You can ask for a copy of your data, or ask us to correct or delete it, by emailing us. We'll answer within 30 days.
• If a company added you to its team, you can ask that company to remove you, or email us.
• Each company chooses who gets its reminder emails. To stop them, ask the person who added you, or email us.

Depending on where you live, such as California, the EU or the UK, you may have more rights over your data. We'll honor them, and we won't treat you differently for using them.

10. Children

ShowbookEZ is a business tool. It isn't meant for anyone under 16, and we don't knowingly collect their information.

11. Where your data is kept

Gadzook Labs is based in the United States. The companies that help us may store or process data in the United States and other countries.

12. Changes to this policy

If we change this policy, we'll post the new version here with a new date. If a change is important, we'll email your account's owner before it takes effect.
